Membership must remain current during events that are pre registered for. In an event that a member discount is given for an event and at the time of the event the membership has lapsed the individual/agency or company will be invoiced for the difference of the non member fee.

Booth Pricing

This year CRPA has really expanded the options available to our exhibitors in the exhibit hall. Booth sizes are now 10’x10’ for a standard booth. New booth sizes available this year are a double (10’x20’), a quad (20’x20’), or a tabletop for our smaller companies and non-profits (a half booth approximate size of 10’x5’). Lobby booths are available for non-profit groups and are tables with 2 chairs.

Booth Selection

A layout of the exhibit hall is below and in with the registration packet, and the contract provides an opportunity for companies to indicate their booth location preference.

The assignment process gives preference to those commercial firms who are conference sponsors and who support CRPA year-round through contributions and membership. All booth assignments will be on a first-come, first-served basis. CRPA will do its best to assign competitors so that they are not adjacent to one another. Contact CRPA to se what booths are avalliable

Exhibit Hall Rules & Regulations

Restrictions – CRPA reserves the right to restrict exhibits which, because of noise, method of operation, or any other reason become objectionable.

Contract for Space – The signed contract and full payment constitutes the completed agreement for the right to use the space. In the event of fire, strike, or other circumstances beyond the control of CRPA, the contract shall not be binding. CRPA reserves the right to cancel any contract with any exhibitor at any time prior to or during the conference.

Liability – CRPA Inc., its employees or conference committee will not be responsible for any injury, loss or damage that may occur to the exhibitor, nor to the exhibitor’s employees or property from any cause whatsoever, prior, during or subsequent to the period covered by the exhibit contract. This includes the period of storage prior to and following the conference. The exhibitor, on signing the contract, expressly releases the above-mentioned CRPA, individuals and committee from any and all claims for such loss, damage, or injury. To prevent loss, small or portable articles of value should be properly secured or removed after exposition hours and placed in safekeeping. Exhibitors will be required to complete a hold harmless form prior to the start of the conference.

Use of Space – All demonstrations must be confined to the limits of the exhibit space. No exhibitors shall assign, sublet, or share the whole or any part of the space allotted without the knowledge and consent of CRPA. Aisles must be clear. Advertising material of any description may be distributed only within the space assigned to the exhibitor presenting such material.

Cancellations – Cancellations of an exhibit space contract must be received in writing thirty (30) days prior to the first day of the conference by CRPA. Written notification must be sent to CRPA, 1800 Silas Deane Highway, Suite 172, Rocky Hill, CT 06067. A $75.00 handling fee will be deducted from the refund. Mail and personal delivery of the cancellation notice shall be deemed delivered on the day such notice is received at the CRPA office.



Demo Area

Do you have a new product of service that you want to tell everyone about? Put on a demonstration for everyone to see at the CRPA Confrence? We are offering Exhibitors the oppertunity to give a 15min demonstration to key customers. We will provide delegates a schedule of various demonstrations going on through out the Exhibit Hall. The schedule will be sent to delegates by e-mail one week before the event to promote these demonstrations and help delegates plan thier time spent in the exhibitor hall and will be given out during registration

You may choose to hold your demonstration at your booth, the open space in the middle of the exhibitor hall, or out in the lobby.

First come...first serve. Contact CRPA (860) 721-0384 to reserve your space and time slot. Please be preapared to provide Topic or Content of demonstration.

This is FREE for all CRPA members ($50.00 for non members)

Virtual Vending

For the first time you may become a "Virtual Exhibitor" at the 46th Annual Connecticut Parks and Recreation State Conference. As a virtual Exhibitor your company's information can still get to decision makers. Your company and contact information will be listed in our conference program which is given to every conference attendee. Then you can choose from two virtually unbelievable options.

TWO VIRTUALLY UNBELIEVABLE OPTIONS

OPTION 1
Staffed Booth:
Assure that your material is well-distributed by having one of our volunteers staff your booth and put them in the hands of attendees. Our staff will also collect business cards and contact information that will be sent to you immediately after the event.

OPTION 2
Un-Staffed Booth:
This option will allow your display be set up in the Exhibitor hall, with your sign and promotional information placed on your table.

Items Accepted:
1. Maximum of 400 pieces of literature.
2. Banner to be hung on back wall of booth.
3. Maximum of 400 Business Cards

We will place as much literature onto the 4 foot display table as possible.
We will also take a picture of your booth and e-mail you a copy.

 

BONUS OPTION: Product and Equipment for the Silent Auction
Send your item(s) for display in the Exhibit Hall the first day of the event and at the “Silent Auction” booth the second day of the event. It will be listed on our Silent Auction sheet and eligible for bidding. You may donate all the profit from the items sold to our Silent Auction Student/Professional Scholarship Fund or receive 25% of the closing bid for your item. Sorry…no items will be returned.
